Pre-Implementation Steps for Gilbarco POS and Kesseltronics Integration
● Check Car Wash Enablement: Confirm that the car wash functionality has been enabled within the Gilbarco POS system at the site.
● Access Verification:
○ Confirm the site has access to the Gilbarco 1-800 support number for setup and troubleshooting assistance.
○ If access is unavailable, coordinate with the site to verify the POS system setup, including the car wash feature activation.
● Gas Discounts:
○ Coordinate with Gilbarco to configure gas pricing and discounts directly within the POS system.
● Car Wash Discounts:
○ Configure car wash discounts in the Kesseltronic system, not the Gilbarco POS.
○ Ensure alignment between gas and car wash discounts as per site requirements.
● Follow the Manual:
○ Configure the Kesseltronic system as per the instructions in the Gilbarco-Kesseltronics Configuration Manual.
○ If the manual is inaccessible, search the WorkDrive system using the keyword: "kesseltronic-gilbarco configuration manual."
● Network Integration:
○ Verify that the Kesseltronic system communicates effectively with the Gilbarco POS for seamless operation.
● Ensure Hardware Availability:
○ Confirm the site has the required communication cable: Part #M09747B010.
○ Missing this cable will prevent communication between the isolator box and the Gilbarco POS Commander.
● Site Verification:
○ Verify the desired discount structure for both gas and car wash services.
● Configuration Responsibilities:
○ Gas discounts: Configured in the Gilbarco POS.
○ Car wash discounts: Configured in the Kesseltronic system.
● Gilbarco POS Terminal: Ensure the terminal is compatible with gas codes and carwash operations. This must be completed before arrival in order to test live transactions: (pertaining to new sites specifically, old sites should be good to go as long as they are actively processing transitions upon technician arrival to site.)
● Peripheral Devices:
○ Card readers (EMV-compliant).
○ Customer-facing displays.
● Networking Equipment:
○ Routers, switches, and cables for reliable connectivity.
○ Backup communication systems (e.g., cellular failover).
● Carwash Interface Equipment: Hardware or modules that allow communication between the POS and carwash system. (if mla system then we should have all the information, if not we need to establish what system and also verify that we can create communication from the Tunnel controller to the db.)
● POS Software Version: Ensure the Gilbarco POS is running the latest compatible software for gas codes and carwash integration. (not required but preferred.)
● Carwash Integration Module: Software or API that enables communication between the carwash system and Gilbarco POS. (if applicable “Cortex”)
● Gas Code Database: Ensure all gas codes, fuel types, and pricing structures are pre-programmed into the Database
● Carwash Bundles: Configure promotional bundles (e.g., fuel discount with carwash purchase) within the POS.
● Tax and Regulatory Compliance:
○ Validate tax rates for fuel and carwash services.
○ Ensure compliance with PCI DSS for payment processing. (Preconfig will need this information to set up Database integration for pricing if site has not been already.)
● Network Setup:
○ Ensure stable internet connectivity is available for the POS.
● Space Allocation: Adequate physical space for installing hardware and peripherals.
● System Testing:
○ Test the POS system for proper fuel code entry and retrieval.
○ Validate carwash service activation through the POS (e.g., issuing carwash codes or barcodes).
● Integration Testing: Ensure seamless interaction between the POS, fuel dispensers, and carwash system.
● Payment Testing: Test all payment methods (credit, debit, contactless)
● Employee Training:
○ Provide a guide for troubleshooting common issues /training on newly installed hardware and software.
● Support Channels: Set up direct lines to Gilbarco support for quick resolution of technical problems. (If site does not already have a direct line to gilbarco.)
● Configuration Records: Document all configurations, including gas codes, pricing, and carwash settings. (Installer recaps should work but if last min changes are requested, please outline them and make sure that they have been paper trailed.)
● Technical Installer: A certified Gilbarco technician for enabling and verifying that hardware is properly configured and ready to be integrated with the Kesselltronic system (“CARWASH FUNCTION“). (preferred not required)
